Ayonix AI ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website ayonix.com and use our services, including our AI agents, face recognition technology, and related products.

2. Information We Collect

2.1 Personal Information

We may collect personal information that you voluntarily provide to us when you:

  • Register for an account or request a demo
  • Subscribe to our newsletter
  • Contact us through our inquiry form
  • Apply for a job position
  • Use our AI products and services

This information may include your name, email address, phone number, company name, job title, and any other information you choose to provide.

2.2 Biometric Data

If you use our face recognition services, we may collect biometric data including facial geometry and facial feature vectors. This data is processed in accordance with applicable biometric privacy laws and is only collected with your explicit consent.

2.3 Automatically Collected Information

When you visit our website, we automatically collect certain information including your IP address, browser type, operating system, referring URLs, and information about how you interact with our website.

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our services
  • Process transactions and send related information
  • Send promotional communications (with your consent)
  • Respond to your comments, questions, and requests
  • Monitor and analyze trends, usage, and activities
  • Detect, investigate, and prevent fraudulent transactions and other illegal activities

4. Data Sharing and Disclosure

  • Service Providers: With third-party vendors who perform services on our behalf

4.1 Third-Party AI Services

ATLAS is an AI assistant. To generate responses, transcribe and synthesize speech, understand images, and render the on-screen avatar, we transmit the content you provide to third-party AI providers that process it on our behalf. The data sent can include:

  • The text of your chat messages and commands
  • Voice recordings and their transcripts during voice conversations
  • Images or documents you attach
  • Related account context (such as your name and connected-account data) needed to complete a request

The third-party AI providers we send this data to include OpenAI, Google (Gemini), Anthropic, ElevenLabs, and HeyGen / LiveAvatar. These providers act as our processors: they use the data only to return the requested result, are contractually required to provide the same or equivalent protection described in this Policy, and do not use your content to train their models except where you have separately agreed with that provider. In our mobile apps we ask for your explicit consent to this processing before any data is sent to a third-party AI service, and you may withdraw consent at any time by discontinuing use of the AI features or deleting your account.

5. Data Security

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption, access controls, and regular security assessments. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

6. Data Retention

We retain your personal information for as long as necessary to fulfill the purposes for which it was collected, including to satisfy legal, accounting, or reporting requirements. Biometric data is retained only for the duration of your use of our services and is deleted upon request or account termination.

Depending on your location, you may have the following rights:

  • Access your personal information
  • Correct inaccurate data
  • Request deletion of your data
  • Object to processing of your data
  • Request data portability
  • Withdraw consent at any time

8. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. We ensure appropriate safeguards are in place to protect your information in accordance with this Privacy Policy.

9. Children's Privacy

Our services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child, we will take steps to delete such information.

10. Connected Services — Slack Data Handling

This section applies specifically to the Atlas AI Agent app for Slack (Slack App Directory listing). It supplements the policies above with disclosures Slack reviewers and end-users expect.

10.1 What we collect from Slack

When you authorize the Atlas Slack app to access your workspace, we receive and store, in our database, only what is necessary to operate the agent:

  • Bot OAuth access token issued by Slack to the Atlas app for your workspace, stored encrypted at rest.
  • Workspace metadata — team ID, team name, bot user ID, and the IDs of channels and conversations Atlas is invited to.
  • Message content from channels, group conversations, and DMs in which the Atlas bot is a participant, but only for the messages Atlas processes to generate a reply. We do not crawl, archive, or index historical messages from channels Atlas has not been invited to.
  • Sender identifiers — Slack user ID and display name of the message author, so the agent can address the user by name and maintain conversation continuity.
  • Replies Atlas posts back to Slack, retained for audit and continuity.

10.2 What we do NOT collect

  • Messages from channels Atlas has not been invited to.
  • Files, images, or attachments are processed only if the user explicitly sends them to the agent; they are not exfiltrated or archived beyond the duration needed to generate a response.
  • We do not request, store, or use any user-level OAuth tokens.
  • We do not collect emails, phone numbers, or other PII from Slack profiles unless you sign up for Atlas with that information directly.

10.3 How we use Slack data

Slack data is used solely to operate the Atlas agent on your behalf — generating replies, scheduling meetings via connected calendars, and producing summaries you request. We do not sell or share Slack data with third parties, and we do not use Slack data to train AI/ML models (ours or third-party providers').

Atlas may send message content to third-party language-model providers (OpenAI, Moonshot/Kimi, Anthropic, Google Gemini, and similar) strictly for the purpose of generating a single reply. These providers process the data under their own privacy policies and do not retain it for model training when called via their standard API endpoints. You can review the active providers at any time in Atlas → Settings → Models.

10.4 Retention and deletion

  • Tokens: retained for as long as your Slack connector is active. Deleted within 24 hours when you click Disconnect in Atlas Connectors, uninstall the Atlas app from Slack, or terminate your Atlas account.
  • Message archive: retained for up to 90 days for thread continuity, then automatically purged. You can request earlier deletion by emailing support@ayonix.com from the email on file.
  • Audit logs: retained for 12 months for security and compliance.

10.5 How to disconnect or request deletion

  1. In Atlas: open Connectors → Slack → Disconnect. Atlas immediately revokes its stored credentials and stops processing new messages from your workspace.
  2. In Slack: open your workspace → Apps → Atlas AI Agent → Remove App. Slack revokes our tokens; Atlas detects the revocation on the next webhook event and finalizes deletion.
  3. Full account deletion: in Atlas → Settings → Account → Delete account. All workspace records, Slack tokens, message archive, and audit logs tied to your account are deleted within 24 hours.
  4. By email: send a request to support@ayonix.com from the email associated with your Atlas account; we complete deletion within 30 days and email a confirmation.

10.6 Security

Slack tokens and credentials are stored encrypted at rest in Cloudflare D1 with row-level isolation per Atlas workspace. Communication between Slack and Atlas uses TLS 1.2+. We verify the X-Slack-Signature header on every inbound webhook to reject forged events. Access to production credentials is restricted to a minimum number of Ayonix Corporation engineers under audit.

10.7 Compliance with Slack API Terms of Service

Atlas AI Agent is operated in accordance with the Slack API Terms of Service and the Slack Developer Policy. We do not transfer Slack data outside the regions stated, except as required to deliver requests to upstream model providers; transfers are encrypted in transit.
